Retrieve, check and, if necessary, amend time registrations (V8)

Step 1 - Open the Time Registration module

On the home page of your environment, you can click Modules on the left-hand side. The various modules will then appear as green tiles.
Click the Time Registration tile.

 This tile contains all the functionality for registering, checking and processing hours worked.

Step 2 - Open the timer registrations

Click Timer on the left-hand side of your screen.
Then choose Individual or Group, depending on how the hours were registered.
You will see an overview of all retrieved hour registrations that have not yet been completed.

Step 3 - Retrieve the hour registrations

Click Retrieve registrations in the top right.
Choose whether you want to retrieve the registrations from all devices or from one specific device.
A window will then appear in which you can determine how the registered times should be rounded.

You then determine how the times should be rounded. You can set separately how the start time, break time and stop time are rounded.

You have three choices:

* Up: the time is rounded up based on the selected grouping.
* Down: the time is rounded down based on the selected grouping.
* Normal: the time is rounded to the nearest time block.

You determine the size of the time block under Group registrations by. For example, you can round to 5, 10, 15 or 30 minutes.

Parameters

Device: choose the device from which you want to retrieve the registrations. You can choose all devices or one specific device.

Round start time: determine whether the start time should be rounded up, down or to the nearest time block.

Round break time: determine whether the break time should be rounded up, down or to the nearest time block.

Round stop time: determine whether the stop time should be rounded up, down or to the nearest time block.

Group registrations by: specify the number of minutes by which the registrations should be grouped and rounded, for example 5, 10, 15 or 30 minutes.

Example

If you choose a grouping of 5 minutes and the Normal rounding option, the time will be rounded to the nearest time block.

Everything between 08:00:00 and 08:02:30 will be rounded to 08:00:00.
Everything after 08:02:30 will be rounded to 08:05:00.

If you choose Up, a start time such as 16:21 will be rounded to 16:25 with a grouping of 5 minutes.

If you choose Down, a stop time such as 23:59 will be rounded to 23:55 with a grouping of 5 minutes.

Press Next and your hours will appear in the registration overview. There you perform a final check of the hours. If you still want to make an adjustment, you can do so via the Details button at the end of each registration.

Step 4 - Check the retrieved registrations

Click Next. The retrieved hours will then appear in the registration overview.
Check the registrations before completing them. Do you want to amend a registration? Then click Details at the end of the relevant registration, or click the line you want to amend. The following pop-up will then appear:

You can amend the activity, start, stop, break and crop/sorting lot.

A red corner on a registration indicates a deviation from the configured working hours. Move your mouse over the red corner to view more information about the deviation.

A blue corner indicates that the registration was manually amended compared with the originally registered data. Move your mouse over the blue corner to view more information about the deviation.

Step 5 - Amend a registration

In the details screen, you can, among other things:
  • remove an employee from the registration;
  • amend the registered hours;
  • add or amend a crop;
  • add or amend a sorting lot.
Check that all the details are correct and then click save.
The hours are processed and linked to the selected activity and employees as soon as you complete the registrations in the overview screen or details screen.
After processing, you can use the registered hours for, among other things, payroll calculations or a performance report per crop, sorting lot or kilogram.
